Upcoming Migration to Kolmeo
This page has been created to assist our property owners with important information regarding the upcoming migration to Kolmeo, our new property management platform.
Owner Payment Advice Email
Each time funds are disbursed to your nominated account, you will receive an Owner Payment Advice via email, including a PDF attachment.
This is not a formal statement, but rather a notification designed to help you identify which property the funds relate to and confirm that the payment has been successfully processed.
Monthly Statements
You will receive a comprehensive End-of-Month (EOM) Statement on the first business day of each month, summarising all financial activity for the previous month.
These statements will also include copies of all invoices, offering complete transparency and improved financial tracking.

Automatic Payments
Under the new system, once your tenant’s rent payment has cleared, funds will be automatically transferred to your nominated account—minus any applicable fees or supplier invoices.
This streamlined process reduces delays and enhances your cash flow efficiency.
Owner Portal Access
Following the launch of Kolmeo, you’ll receive an invitation to access your Owner Portal.
Within the portal, you’ll be able to view:
· Tenancy details
· Payment records
· Monthly statements
· Outstanding invoices
This portal provides a centralised and user-friendly way to manage your property-related financials.

Manually Entered Invoices
In Kolmeo, invoices will no longer be uploaded automatically. Instead, they will be entered manually by our team.
This approach ensures:
· Greater accuracy
· Elimination of duplicate entries
· Improved identification of discrepancies
We found the automation in the previous platform to be unreliable in consistently managing these tasks.

Paying Outstanding Invoices
If your tenant’s rental income does not cover all pending invoices:
· You can log into your Owner Portal and pay suppliers or trades directly through the portal.
· This avoids delays caused by transferring funds into our trust account and waiting for them to clear.
· These payments will still appear on your ledger and monthly statements.
Example: If a large appliance needs to be purchased urgently and rent isn’t due for 10 days, you can process the supplier payment immediately.
Improved Rent Review Tracking
Kolmeo offers better tracking of rent review and rent increase dates, helping ensure:
· No rent reviews are missed
· Increases are implemented on time
This addresses a key limitation of the current platform and supports more proactive rent management.
